ADMINISTRATIVE COORDINATOR, OPERATIONS





The Administrative Coordinator, Operations will support the Aurora and Anandia teams at the Great Northern Way office.





GENERAL:



  • Maintain and promote the safety culture for all employees, vendors and visitors and follow all safety policies, procedures, and regulations

  • Maintain a positive, empathetic, and professional attitude toward internal and external customers, clients and coworkers at all times.





OFFICE COORDINATION:



  • Perform reception tasks including manage all incoming calls, screen and direct calls as necessary

  • Greet and direct people to the appropriate staff member and coordinate the sign-in/sign-out process

  • Pick-up and distribute incoming mail

  • Maintain an adequate inventory of office supplies, toner and kitchen supplies

  • Organize catering for in-house meetings

  • Ensure all office and kitchen equipment is in working order

  • Maintain clean office and kitchen supply areas

  • Assist with communication across Aurora and Anandia






RECEIVING:



  • Receive deliveries, including supplies, equipment, chemicals and other dangerous goods

  • Ensure all deliveries reconcile to packing slips and inspect all incoming goods and supplies for correctness and/or damage

  • Store all laboratory, office and kitchen supplies in designated locations

  • Reconcile deliveries to procurement software and update laboratory inventory records

  • Keep key stakeholders informed on all pertinent information related to laboratory supplies and report any irregularities or problems as they occur

  • Perform weekly inventory of laboratory supplies, re-order and follow up with suppliers as required

  • Act as back-up for Sample Receiver

  • Work closely with the Finance department to track all purchases and maintain inventory

  • Troubleshoot challenges related to space shortages and transport of goods

  • Perform other duties as requested
