About the Role

The Administrative Assistant provides confidential administrative support to the Department leader and their team. With intermediate proficiency in Microsoft Office skills, the Administrative Assistant prepares PowerPoint presentations, Word documents, Excel spreadsheets, written correspondence and meeting minutes. The position holder also assists with expense processing and the coordination of departmental travel arrangements/authorizations. Additionally, the Administrative Assistant liaises with other departments to schedule meetings and conference calls as well as assists other ad hoc requests.

About Your Day

  • Take and transcribe dictation notes and meeting minutes.
  • Review and prepare all documents, reports and correspondence.
  • Assist with report and presentation preparation.
  • Manage Senior Leaders’ calendars within the department.
  • Organize and complete business travel arrangements for the department.
  • Liaise with department vendors.
  • Write email correspondence, distribute email, letters, faxes and forms.
  • Assist in the preparation of regularly schedule reports.
  • Provide general support to visitors.
  • Determine and establish office procedures.
  • Filing and file maintenance.
  • Order office supplies and maintain inventory.
  • Develop and maintain a manual and electronic filing system, ensuring confidentiality of documentation.
  • Liaise with other department administrative assistants to handle request and queries from senior management.
  • Maintain contact lists.
  • Preparing and scheduling of events and training.
  • Complete and submit accurate travel expense statements.
  • Monitor the department office budget and travel expenses.
  • Complete and review all expense reports, invoices, and other relevant monetary documents.
  • Coordinate events for the department.

About You

  • Secondary Diploma/GED; Post-secondary Diploma/Bachelor Degree is preferred
  • 1-2 years of administrative experience
  • Intermediate Microsoft Office skills (Word, Outlook, PowerPoint and Excel)
  • Excellent verbal and written communication skills
  • Strong organizational and time management skills
  • High level of accuracy and attention to detail
  • Superior customer service skills
  • Ability to exercise good judgement and maintain confidentiality
